A spreadsheet for private tutors: what to track, and when it stops working
Updated 12 October 2026 · 6 min read
A spreadsheet is a good place to start. It's free, you already know how to use it, and it beats a notebook the moment you need a total. Here is a layout that keeps working for longer.
Use three tabs, not one
The usual mistake is one big sheet with a column per month. It grows sideways until nobody can read it. Split it into three tabs that each do one job.
1. Students
One row per student. This tab changes rarely.
| Student | Grade / exam | Subject | Parent's contact | Rate | Day and time |
|---|---|---|---|---|---|
| Priya M. | Grade 10 (O/L) | Maths | 077 000 0000 | Rs 3,000 a class | Mon 4:00 pm |
| Sam D. | A/L | Physics | 077 000 0001 | Rs 3,500 a class | Tue 5:30 pm |
2. Classes
One row per class taught, added on the day. This is your record of what's owed.
| Date | Student | Topic | Fee |
|---|---|---|---|
| 3 Feb | Sam D. | Kinematics | 3,500 |
| 5 Feb | Priya M. | Quadratic equations | 3,000 |
3. Payments
One row per payment received.
| Date | Student | Amount | How | For |
|---|---|---|---|---|
| 28 Feb | Priya M. | 12,000 | Bank transfer | February |
Then a fourth, small summary tab works out each student's balance with SUMIFS: fees from Classes minus amounts from Payments. (All names and numbers here are made up.)
Keep the syllabus somewhere you'll see it
Fees get all the attention, but parents ask "where are they in the syllabus?" just as often. Add a column for each student's next topic, or a simple list of topics with a tick for each one covered. Before exams, that list tells you what's left in the weeks you have.
Signs the spreadsheet has outgrown you
- A tab is called "FINAL", and there's a "FINAL (2)".
- You check three tabs to see whether one parent paid.
- Updating it on your phone between classes is too fiddly, so you do it "later", and later doesn't come.
- A formula broke in March and you're not sure which totals are right.
- You have more than about twenty students, across a few classes or institutes.
None of these mean you did it wrong. A spreadsheet just isn't built to be a class register, a fee book and a syllabus tracker at once.
Moving on without retyping everything
Offsheet Classes was made for tutors at exactly this point. It imports the student list you already keep in Google Sheets, Excel or a Google Doc, then keeps classes, payments and syllabus progress together on one screen that works on your phone. You can still download everything as an Excel file whenever you like.

Try it with sample students
Offsheet Classes keeps your schedule, payments and each student's syllabus on one screen, on your phone or computer. One payment, no monthly fee.
